You might also be looking for holes in your schedule to fill with new assignments.<\/p>\n<p>As a student (don\u2019t forget that we offer a student discount!), you probably want to take more of a holistic approach to tracking time so you can balance classes, assignments, and social obligations. Then you\u2019ll want to ask your employees to track what they are doing on company time\u2014whether it\u2019s to properly allocate hours to certain accounts or activities, or to boost office productivity.<\/p>\n<p>And lastly, as a power user, you just want to optimize your Mac experience and ensure you are getting the most out of your machine and your time to increase productivity.<\/p>\n<p>Regardless of your primary reason for using Timing, it could also be beneficial to track time spent on activities outside of work or school. Monitoring exercise, time with friends and family, or important self-care could have a positive impact on your mental, physical, and emotional health. All this is of course possible with Timing.<\/p>\n<p>With that out of the way, here are the main offerings of Timing.<\/p>\n<h2>Choosing Your Structure<\/h2>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone wp-image-168 size-full\" src=\"https:\/\/timingapp.com\/wordpress\/wp-content\/uploads\/2018\/09\/Timing_organization.png\" alt=\"Timing time tracking\" width=\"1388\" height=\"681\" srcset=\"https:\/\/timingapp.com\/wordpress\/wp-content\/uploads\/2018\/09\/Timing_organization.png 1388w, https:\/\/timingapp.com\/wordpress\/wp-content\/uploads\/2018\/09\/Timing_organization-400x196.png 400w, https:\/\/timingapp.com\/wordpress\/wp-content\/uploads\/2018\/09\/Timing_organization-768x377.png 768w, https:\/\/timingapp.com\/wordpress\/wp-content\/uploads\/2018\/09\/Timing_organization-770x378.png 770w\" sizes=\"auto, (max-width: 1388px) 100vw, 1388px\" \/><\/p>\n<p>Once you decide what you\u2019d like to track, it\u2019s time to decide how to structure your categories.<\/p>\n<p>There are four main terms we use when talking about organization within Timing:<\/p>\n<ul>\n<li>Client: A good overarching indicator to use if you have multiple projects for one client.<\/li>\n<li>Project: A bucket for your time. (You can also create sub-projects.)<\/li>\n<li>Activity: A certain action for a project.<\/li>\n<li>Task: A block of time during which you worked on a particular thing.<\/li>\n<\/ul>\n<p>Note that <em>clients<\/em> and <em>activities<\/em> have no separate representation in Timing; you can simply create these as parent projects or sub-projects as needed. We are going to explain this in more detail below.<\/p>\n<p>For example, say you are a writer. There might be a number of projects happening for a client (such as a website redesign, social media support, and an ongoing blog).<\/p>\n<p>Each of these might include various activities (research, writing, editing) that you need to account for under that specific project for the client. Tasks could then include an issue number, or a particular project management indicator (e.g., a Trello card name). You can add these tasks by clicking the \u201c+\u201d sign at the bottom of your timeline:<\/p>\n<p><img decoding=\"async\" class=\"window-shadow\" src=\"https:\/\/timingapp.com\/screens\/add_task.gif\" \/><\/p>\n<p>Each of these levels will be color-coded accordingly to match the client\u2014so you or your employer can properly account for time spent on that account. In addition, you\u2019ll be able to easily see in your timeline what you\u2019ve specifically been doing for that client in your categorized rows.<\/p>\n<p>Your project hierarchy in this case would look like this:<br \/>\n<strong>Client &gt; Project &gt; Activity<\/strong><\/p>\n<ul>\n<li>The title of the first-level &#8220;Client&#8221; project could e.g. be:\u00a0<strong>Acme Inc.<\/strong><\/li>\n<li>The title of the second-level &#8220;Project&#8221; project could be: <strong>Corporate Blog<\/strong><\/li>\n<li>And titles for the many possible Activity projects could include:\n<ul>\n<li><strong>Brainstorming blog topics<\/strong><\/li>\n<li><strong>Researching statistics\/supporting materials<\/strong><\/li>\n<li><strong>Writing<\/strong><\/li>\n<li><strong>Editing<\/strong><\/li>\n<\/ul>\n<\/li>\n<li>Finally, you can add tasks via your timeline for specific blocks of time:\n<ul>\n<li><strong>Work on Article A<\/strong><\/li>\n<li><strong>Work on Article B<\/strong><\/li>\n<li><strong>Work on Article C<\/strong><\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<p>All time tracked to these tasks and activities will be color-coded under the project, which will show up under that client.<\/p>\n<p>In general, a \u201cClient\u201d can be considered an overarching project folder for an account or school course. Don\u2019t have multiple projects for a client? No problem. You can skip the \u201cClient\u201d section, start with \u201cProject,\u201d and add activities as sub-projects.<\/p>\n<p>You could even qualify your social life as a project, add \u201cMeeting up with friends\u201d as an activity\/sub-project, and enter \u201cSeeing Jane\u201d as a task within your timeline.<\/p>\n<p>Additionally, you can leave out tasks and just account for activities within projects by creating a sub-project for each kind of activity. Or, you forego the \u201cActivity\u201d sub-projects altogether and instead categorize those using tasks only.<\/p>\n<p>And finally, when you are done working with a particular client or project, you can right-click the corresponding Timing project and archive it. That will hide the project to de-clutter your project list. And if you need to access an archived project again, just click &#8220;Show Archived&#8221; in the project list to make it visible.<\/p>\n<h2>Automatic Settings<\/h2>\n<p>As you get going, there are shortcuts you can take so that your tracked time automatically gets tagged under the appropriate project.<\/p>\n<p>By pressing the \u201coption\u201d key while dragging a project\u2019s name from the \u201ckeyword\u201d list, Timing will create a rule to consistently filter through any documents or apps that include that project name and track it there. This makes it important to title your documents using the project name, so Timing can automatically pull the time spent within them.<\/p>\n<p>In addition, you can view the \u201cUnassigned\u201d tab inside your activities to determine which actions have not yet been assigned to a project. This helps you get a quick view of the time that still needs to be accounted for\u2014no more missed billable hours.<\/p>\n<p>But what if you need to manually track time that\u2019s spent off your Mac? Not a problem. You can enter in calls, meetings, or social engagements and code them to the correct project. Worried you might forget? Timing lets you <a href=\"https:\/\/timingapp.com\/help\/2-reviewing-your-day#tasks%20and\">set reminders<\/a> when you\u2019re offline so you can remember to log it once you\u2019re back on your computer.<\/p>\n<p>There are also a number of advanced filters for the dedicated power user, and we covered them all <a href=\"https:\/\/timingapp.com\/help\/5-time-tracking-for-power-users\">in this previous\u00a0article<\/a>. Give it a read!<\/p>\n<h2>Review &amp; Details Screens<\/h2>\n<p>Need to take a quick glance at where your time is being spent? Enter the all-encompassing Review Screen.<\/p>\n<p>First, set the toolbar to your preferred window of time. It could be a day, a week, 30 days, etc.<\/p>\n<p>Now you\u2019ll see everything laid out in front of you, easily color-coded for each client or project. You might want to show your client, your boss, or your academic counselor. Whatever the case, you can use Timing\u2019s built-in presets or enter your own parameters to customize your report.<\/p>\n<p>Maybe you need to submit a timesheet each day, or maybe you like to utilize the weekly \u201csnippet\u201d method (<a href=\"https:\/\/timingapp.com\/blog\/snippets-technique-timing\/\">more on that here<\/a>). Make the report as detailed as you\u2019d like.<\/p>\n<p>From there, choose the format, click \u201cExport,\u201d and you\u2019re all set.<\/p>\n<h2>Productivity Score<\/h2>\n<p>A neat feature of Timing is the \u201cProductivity Score.\u201d In order to maximize efficiency, it\u2019s good to get a sense of which projects tend to be your most (or least) productive.<\/p>\n<p>For each project you can manually enter your own productivity score. Your social engagements, though important, would likely rank as less productive than those that align with your health and wellness activities.
